Accommodation costs are not included in the conference registration fee. Attendees are responsible for making their own lodging arrangements.
A list of hotels is provided on the EuroSun 2010 conference website under accommodation (link…). As there are several big events inGrazat the time of the conference, the organizers recommend booking a hotel room well in advance!
Registered conference participants who cannot attend the conference or the conference dinner or the technical tour will be refunded as follows: Receipt of cancellation by 1 September, 2010: Refund of 50 % of the conference fee minus 30 € handling fee. No refund can be accepted after 1 September, 2010. Substitutions are welcome at any time before start of the conference. If you wish to substitute a participant, please contact the EuroSun 2010 conference secretariat at your earliest convenience. During the conference, the ticket is non-transferrable. Changes in the number of days you are attending the conference cannot be made at the conference. Credit will not be given for unattended events or early termination of attendance.Cancellations of the registration have to be made in writing to the conference secretariat at PSE AG, Emmy-Noether-Str. 2, 79110 Freiburg, Germany, payment@eurosun2010.orgAll refunds will be made after the conference and within four months. Any bank charges involved will be charged to the participant.
Meals and refreshments are included in the conference fee for all participants. This includes the daily coffee breaks and lunch. Participants also have free entrance to the happy hour bar on Wednesday, 29 September, 2010 and to the Welcome Reception on Tuesday, 28 September, 2010. However, space for the Welcome Reception is limited (max. 600 persons) and will be granted on a first come first serve basis.
The personal information provided by the participants will be held on a database. Credit card information will NOT be stored in this database. The email addresses will be used to circulate the EuroSun 2010 newsletter, last minute details and announcement of the next EuroSun conference. The address database will be handed on to the organizer of the next EuroSun conference. First name, last name, company/institution and country of all participants will be published on the printed list of participants and in the password-secured area on the website (without mail address).The data of the participants will not be given to a third party not related to the EuroSun 2010 conference.
Early Bird Registration ends on 29 June, 2010. Online registrations are possible till 13 September, 2010 and directly at the conference site at the normal price, subject to availability of spaces.
If the conference cannot be held or is postponed due to events beyond the control of the conference organizers (including but not limited to: strikes; acts, regulations or orders of governmental authorities; civil disorder; disasters; acts of terrorism; acts of war; acts of God) or due to events which are not attributable to wrongful intent or gross negligence of the conference organizers, the conference organizers cannot be held liable by attendees for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, financial losses, etc. Under these circumstances, the conference organizers reserve the right to retain the entire registration fee.
The congress organizer cannot accept liability for personal injury, loss or damage to belongings of conference participants, either during or as a result of the congress. Please check the validity of your own insurance policies.
Delegates must have registered and paid the required conference fee before requesting an official Letter of Invitation. All requests should be sent in due time by e-mail to payment@eurosun2010.org . Please note that the EuroSun 2010 conference organizers will not be able to contact or intervene with any Embassy or Consulate office on behalf of a delegate.The Letter of Invitation does not financially obligate the conference organizers in any way. All expenses incurred in relation to the conference are the sole responsibility of the attendee.
All participants must check in on arrival at the conference and will receive their name badge then. The name badge is required for admittance to all conference sessions and events. Each participant is asked to wear and clearly display the name badge at all times during the conference and the included social events in order to gain access. The name badge will contain first name, last name and university/institution/company of the attendee.
Regular oral presentations are 20 min. including 3 minutes of discussion time. Please make sure to strictly keep this time limit.
Only presentations in .ppt or .pdf format will be accepted – this means only MS Office or OpenOffice. Apple Keynote format cannot be accepted! If you have created your presentation in Apple .ppt, please test it on a Windows PC to ensure that it displays correctly.
Avoid any external links in your presentation. The presentation computers do not have an internet connection.
Non-standard fonts should be embedded.
All pictures and graphs must be embedded without links.
Experience shows that video films often cause problems. If you plan to use video films, please check them on the computers in the Presentation Upload Center when handing in your presentation.
All oral presentations must be handed in at the Presentation Upload Center at the conference site. Our technical support team will welcome you there Wednesday, 29th September to Friday, 1st October, 2010 from 8:00 a.m.
Please hand in and check your presentation well in advance and at least on the day before your presentation.
You will not be able to display your presentation directly form your laptop computer or memory stick. All presentations must be uploaded to the conference system in advance!
Please meet your chairs and co-chairs inside the conference room at least 10 minutes prior to the beginning of your oral session and get familiar with the technical equipment.
Please make sure that your presentation and memory stick do not contain computer viruses of any kind. If you hand in an infected memory stick, you will be asked to come again later with a virus-free stick.
Data protection: Your presentation will be handled in a strictly confidential manner and will be deleted from our file servers after the conference.
Delegates from countries within the European Union (Schengen Area) will only need a valid ID or passport to travel to Austria. It is the sole responsibility of all other delegates to contact the nearest Austrian embassy or consulate for visa details. Please be sure to allow sufficient time for the application procedure!
Poster layout:You are free to design and layout your poster as you wish. The only requirement is with regards to the maximum size: max. size: DIN A0, upright/portrait Width: max. 84 [cm] / 33 [inches] Height: max. 119 [cm] / 47 [inches]We recommend that you choose a type size which is legible from a distance of 1-3 m.If you wish to use the EuroSun logo you can find it in the “Download Area” of the EuroSun website.
Poster mounting:You are responsible for printing your poster in advance and for putting it up at the conference site. It is not possible to print posters at the conference site.Please mount your poster at your earliest convenience. It may be put up starting Tuesday, 28th September, 2010, from 08:00 a.m. Push-pins will be provided.Please do not remove your poster until the end of the conference, but do take it with you when you leave, otherwise we will dispose of it.How to find the place where your poster should be mounted: In the poster area you will find a poster plan for orientation. In addition, a sign will be put up on each poster wall giving the author’s name, poster title and number:If you have difficulties finding “your” poster wall at the conference site, a member of our staff will be happy to help you.
The EuroSun 2010 conference program, with details on the scientific and social program, is published on the EuroSun 2010 website. The conference starts with the technical tour on Tuesday, 28 September, 2010, and ends with the closing session on Friday, 1 October. Furthermore, a printed copy will be handed out with the conference materials on site.
As long as tickets are still available, online registration will be possible till 13 September, 2010 using a credit card. As capacity is limited, registrations will be handled on a first come, first serve basis. If the maximum attendee capacity is reached, the organizers reserve the right to refuse any registration. Students enrolled at an approved university at the time of the conference will receive the reduced student conference fee. All student discounts are at the organizers' discretion, and proof of status (student card) is required. For this purpose students will be sent a link where they can upload a scan of the student card. Alternatively they can send a copy by fax to: +49-761-47914-44. In any case they must present their original student identification card on-site in order to receive their name badge. Discounts must be applied when registering – discount cannot be applied after the booking has been processed.
